1. Reservation and Booking

• All reservations submitted through the system are subject to email verification and administrator approval.
• A reservation is considered Pending until it has been reviewed and approved by the administrator.
• Submission of a reservation request does not guarantee confirmation.
• Management reserves the right to approve, decline, or cancel any reservation request at its discretion.

2. Reservation Confirmation

• Once approved, a reservation confirmation email will be sent to the registered email address.
• Customers are responsible for ensuring that all provided contact details are accurate and active.
• Failure to respond to confirmation, payment, or verification requests may result in automatic cancellation.

3. Payment Policy

• Payment details, including total amount, amount paid, and remaining balance, will be reflected in the Reservation Summary.
• Proof of payment must be submitted via email for verification.
• Reservation Fee: A minimum reservation fee is required to secure the booking.
• Partial Payments: Multiple or partial payments are allowed until the required reservation fee is fully paid.
• All payments are subject to manual verification by the administrator.
• Accepted payment statuses are: Not Paid, Partially Paid, Fully Paid.
• If the total payment does not meet the required reservation fee, the reservation will remain under Pending Payment status.
• If the reservation fee is not fully paid within seven (7) days from reservation approval:
  • A warning notification will be sent via email two (2) days before the deadline.
  • The reservation will be automatically cancelled if payment remains insufficient after the deadline.
• Accepted payment methods include Bank Transfer, GCash, or Cash (Walk-in).

4. Cancellation Policy

• Cancellation requests must be submitted via email or system cancellation request, including the reason for cancellation.
• All cancellation requests are subject to administrator approval.
• Reservations that fail to meet the required reservation fee within the allowed period may be automatically cancelled without further approval.
• A warning notification will be sent two (2) days prior to automatic cancellation due to non-payment.
• Less than seven (7) days before the event: The reservation fee is strictly non-refundable.
• Peak Season (December and Summer): No refunds will be issued regardless of notice period.
• Partial Refunds: If full payment has been made, only the excess amount beyond the reservation fee may be eligible for refund, subject to administrator approval.
• No-show Policy: Failure to attend the reserved date without prior cancellation will result in forfeiture of all payments made.

5. Rescheduling Policy

• Rescheduling requests must be submitted via email, including the preferred new date and time.
• All rescheduling requests are subject to availability and administrator approval.
• Approved reschedules will be reflected in the system and confirmed via email.
• Rescheduling requests must be made at least seven (7) days before the original event date.
• Rescheduling during peak seasons (December and Summer) may be limited or unavailable.

6. Other Inquiries and Requests

• Customers may submit other inquiries or special requests related to their reservation via email.
• These may include clarifications, requests for additional information, or minor reservation adjustments.
• All inquiries and requests are subject to administrator review and approval.
• Customers will be notified via email once their inquiry has been processed.

7. System Accuracy and Responsibilities

• Customers are responsible for reviewing all reservation details before confirmation.
• Management is not liable for errors caused by incorrect or incomplete information provided by the customer.
• The system records all actions for administrative tracking and audit purposes.

8. Privacy and Data Protection

• All personal information collected will be used solely for reservation management and communication.
• Customer data will not be shared with third parties without consent, except when required by law.

9. Event Guidelines

• Events must start and end according to the approved schedule.
• Guest count must not exceed the confirmed maximum capacity.
• Decorations must be approved in advance and removed after the event.
• No open flames, fireworks, or hazardous materials are permitted.

10. Liability

• Guests are responsible for their personal belongings and safety.
• Management is not liable for accidents, injuries, or damages during the event.
• All guests must comply with resort rules and regulations.

11. Modifications to Terms

• Management reserves the right to modify these Terms and Conditions at any time.
• Updated terms will take effect immediately upon publication in the system.
